Create a custom onboarding experience for your users.
The Onboarding page allows you to display a custom message or video when users log into your manual for the first time. This helps provide a warm welcome and essential guidance.
Here, you can:
Enable or disable the onboarding screen for new users.
Set a custom title to display at the top of the onboarding screen.
Choose a greeting style with optional personalisation, including the user’s name.
Write a welcome message to introduce your event or platform.
Embed a YouTube video for additional guidance or an introduction.
This ensures that new users have all the information they need as soon as they log in.
Show onboarding?
This setting allows you to choose whether new users see the onboarding screen when they first log in. It’s controlled by a simple Yes/No dropdown:
Yes – The onboarding screen will be displayed to new users.
No – Users will be taken directly into the system without an onboarding introduction.
Consider enabling this if you want to provide a structured welcome, highlight important information, or offer guidance upfront.
Title
The title appears at the top of the onboarding screen and sets the tone for the user experience. Keep it concise, welcoming, and relevant to your event or organisation. For example:
"Welcome to [Event Name] Exhibitor Hub!" or "Getting Started with Eventflow"
Greet by name?
This option determines whether users are addressed by name on the onboarding screen. You can also choose whether to include their Surname, depending on the level of personalisation you want to provide.
Enabling this makes the onboarding experience feel more personal and engaging.
If privacy is a concern, you may choose to display only first names or disable this feature entirely.
Salutation
Here, you can define how users are greeted by setting a salutation (e.g., Dear, Hello, Hi).
Using a formal greeting (e.g., Dear [First Name]) may be appropriate for corporate or professional events. A casual approach (e.g., Hi [First Name]! ) works well for more relaxed or informal settings.
Welcome message
This optional field allows you to add a short introductory message for new users. Use this space to:
Provide a brief overview of what they can expect.
Offer a friendly introduction to your exhibitor manual.
Align the tone and language with your event or brand.
For example:
"Welcome to the [Event Name] portal! Here, you'll find everything you need to prepare for the event. Follow the steps outlined to complete your setup and make the most of your experience."
A well-crafted welcome message ensures users feel informed and supported right from the start.
Embedding a YouTube Video in the Onboarding Screen
To embed a YouTube video on to the onboarding screen, first find the video you want to embed. Copy the video ID (the unique ID at the end of the video URL, e.g., for https://www.youtube.com/watch?v=abc123, the video ID is abc123). Enter this into the YouTube Shortcode field and voila!
Preview the onboarding screen to ensure the video appears and plays correctly. Embedding a video helps streamline onboarding by providing clear, visual instructions or a warm welcome to exhibitors.

Show signature?
This setting allows you to decide whether to end the onboarding message with a personalised signature, helping to create a more engaging and professional experience for new users.
What Does This Do?
When enabled, a signature will appear at the bottom of the onboarding message, adding a personal touch to your welcome. This is particularly useful if you want to:
Make the message feel more warm and personal, as if it’s coming directly from an event organiser or team member.
Reinforce your brand identity by including a team name, department, or company.
Add credibility and professionalism by signing off with an official name or role.
How to Use This Setting
Selecting 'Yes' will show a personalised signature will be added to the bottom of the onboarding message. If you select 'no' the onboarding message will end without a signature.
If enabled, you will be able to customise the name and role displayed. This can be set to:
An individual’s name and position (e.g., Best regards, Sarah Johnson, Event Manager)
A team or department (e.g., The Eventflow Support Team)
Your organisation’s name (e.g., The [Event Name] Team)
Choosing the right signature format depends on your event’s tone and audience. If your event is formal, a full name and title may be appropriate. For a more casual approach, simply using a team or company name works well, E.g.
"Welcome to the [Event Name] portal! Here, you'll find everything you need to prepare for the event. Follow the steps outlined to complete your setup and make the most of your experience.
Best regards, Sarah Johnson Event Manager, [Event Name]"
By including a signature, you can make the onboarding experience feel more human, trusted, and well-structured for your users.
